Coast Hotels hosts shared folders on Microsoft SharePoint. Saving/Moving files in File Explorer can be easier and more productive if you work with files frequently. There are a couple of ways accessing these shared folders in file Explorer.
- Sync the SharePoint folders to your file explorer so that you have an offline copy on your computer. (Preferred method)
- Create a shortcut under your OneDrive to these SharePoint folders.
(Note: You should only choose one method for your computer, as having both Sync and Shortcut can cause confusion with OneDrive)
Sync the SharePoint folders to your file explorer. (Preferred method)
- Synchronizing the SharePoint folder allows you to access the shared like a folder.
- In Microsoft Teams > Files > navigate into the folder (eg. Apps) that you would like to sync to your computer.
- Click "Sync" on the menu bar.
- A message box will appear and let you know that the sync is being worked on.
- A new icon will appear in File Explorer that links to this shared folder, and OneDrive will continue to sync its content until completion.
- With this shared folder available in File Explorer, you can treat it like a folder on your computer. Changes you make is sync'd onto SharePoint.
- The Status icon tells you whether the folder/file is available online (cloud), downloaded to your computer (green tick), or always keep on this device (solid green).
Create a shortcut under your OneDrive to these SharePoint folders.
- In Microsoft Teams, under "Teams and Channels", select the Team that contained the shared folder.
- On the right panel, click on "Files" to view the shared contents.
- Select the folder (eg. Apps) that you wish to create a shortcut and choose "Add Shortcuts to OneDrive".
- Apps is now added as a shortcut under your File Explorer's OneDrive section. When you need to save/download files to this shared folder, this folder can now be easily accessed.
